How to use Meeting Cost Calculator

Calculate the true monetary cost of any meeting based on attendee count, average hourly rate, and meeting duration — all computed instantly in your browser. A one-hour all-hands with 20 people earning $60/hour costs $1,200 in direct salary alone before overhead is applied. Use the live timer to watch costs accumulate in real time, making the financial impact of long meetings immediately visible.

  1. Enter the number of attendees who will attend the meeting.
  2. Set the average fully-loaded hourly rate per person (salary + benefits, typically 1.25–1.4× base pay).
  3. Enter the planned meeting duration in hours and minutes.
  4. Read the total meeting cost shown instantly below the inputs.
  5. Optionally, click "Start live timer" to watch the cost increment in real time during the meeting.
  6. Share the cost figure with your team to encourage shorter, better-structured meetings.

How meeting cost is calculated

The calculator multiplies the sum of all attendee hourly rates by the meeting duration in hours: Cost = (attendees × average hourly rate) × hours. This reflects the direct opportunity cost — the productive work each person could have completed instead. For a more accurate fully-loaded cost, multiply the average base salary rate by an overhead multiplier of 1.25 to 1.4 to account for benefits, payroll taxes, and workspace overhead. The result is the minimum economic cost of the meeting before considering the indirect cost of context-switching and recovery time.

8$60/hr1 hour$480

20$80/hr2 hours$3,200

Strategies to reduce meeting costs

Research consistently shows that unnecessary meetings are one of the largest drains on organisational productivity. Practical cost-reduction strategies include: limiting recurring meetings to essential attendees only (each additional person multiplies cost linearly), replacing status updates with asynchronous written summaries, enforcing hard time limits with a visible timer, requiring a written agenda 24 hours in advance (meetings without agendas run 30–40% longer on average), and auditing all standing meetings quarterly to eliminate those with unclear outcomes. A 15-minute reduction in a 12-person weekly recurring meeting saves over $2,000 per year at typical corporate rates.

Worked examples

One-hour team meeting

Inputs: 6 people × 1 hr × $75/hr average

Result: $450 in salary cost

Weekly standup, annualised

Inputs: 8 people × 0.25 hr × $70/hr × 52 weeks

Result: ≈ $7,280 per year

Glossary

Opportunity cost
The value of the next-best alternative forgone — in meeting context, the productive work each attendee could have completed during that time instead.
Fully-loaded cost
An employee's total cost to the employer including base salary, benefits, payroll taxes, and workspace overhead — typically 1.25 to 1.4 times the base hourly rate.
Asynchronous communication
Communication that does not require all parties to be present at the same time — emails, recorded videos, and shared documents that people can review on their own schedule.
Standing meeting
A regularly scheduled recurring meeting (daily, weekly, monthly) that continues indefinitely until explicitly cancelled — often a source of compounding meeting cost.
