Why PDF is the standard for document sharing
Word documents render differently depending on the version of Word, installed fonts, and operating system — a document that looks perfect on your machine may have broken pagination on a recipient's computer. PDF embeds fonts, preserves exact layout, and renders identically on Windows, macOS, Linux, iOS, Android, and any web browser. For contracts, invoices, resumes, and reports, PDF is the only format that guarantees visual fidelity across recipients.
| Feature | DOCX (Word) | |
|---|---|---|
| Consistent across devices | No (font-dependent) | Yes (fonts embedded) |
| Editable | Yes | Limited (PDF editor required) |
| File size | Small to medium | Slightly larger |
| Print fidelity | Variable | Exact |
| Form fields | Active (editable) | Static or interactive |
| Best for | Collaborative drafts | Final distribution / archiving |
Formatting preservation and limitations
Complex Word features like tracked changes, comments, macros, and forms with active logic are stripped during conversion — only the visual appearance of the accepted document is preserved. Embedded images, charts (converted to static images), tables, headers, footers, page numbers, and standard fonts are all preserved. If a document uses uncommon fonts not available in the browser's font stack, fallback fonts are used, which may affect line breaks and pagination slightly.
